Privacy Policy — Voice Writer

Voice Writer is developed and operated by Microters LLC. This Privacy Policy explains how we handle information when you use our app to record your voice and convert it into written text.

Information We Process

Voice recordings

When you use the app, you may record your voice using your device's microphone or select an existing audio file. Recordings may contain personal information, including your voice and anything you or others say.

The app only accesses the microphone while you are actively recording. The app does not record in the background, and selecting an audio file does not give the app access to your other files.

Transcription and writing instructions

We process your recording, the selected language, optional writing style or formatting preferences, and the information necessary to complete your transcription or text-generation request.

Saved text and preferences

The app stores your transcript history and preferences locally on your device. History entries may include the transcribed text, a title, the selected language or style, and the creation time.

Technical information

Our systems process information needed to operate and troubleshoot the service, such as request identifiers, timestamps, response status, processing duration, audio format, and audio length. Our hosting and API infrastructure may also process connection information, including IP addresses and server access logs.

If you contact support, we receive the information you include in your message.

How Voice Transcription Works

Transcription requires an internet connection and sends selected content outside your device.

When you tap Transcribe (or stop a recording that is set to transcribe automatically), your audio, selected language, and optional instructions are sent to our backend. The backend submits the information needed for transcription to our AI service provider, which converts the audio into text. Where you choose a rewrite or formatting option, the resulting text may also be sent to an AI model to produce the final version.

AI-generated transcripts may contain errors. Please review the text before relying on it or sharing it.

Only record or upload audio that you have permission to use, including appropriate consent from other people whose voices are captured. Recording laws vary by location, and you are responsible for complying with them.

Why We Use Information

We process information to:

• Convert your voice recordings into text.
• Display results and support copying, sharing, and exporting.
• Maintain your local transcript history and preferences.
• Diagnose errors and operate the service.
• Respond to support and privacy requests.

The core app does not require a user account. Its current implementation does not include third-party advertising or advertising-ID tracking.

Service Providers and External Processing

We use our backend infrastructure and third-party AI service providers to deliver transcription and text-generation functionality. Depending on the feature you use, these services receive your audio, the selected language, your written instructions, or the transcribed text.

These services have their own processing, retention, and security practices.

Storage and Retention

On your device

Transcript history and preferences remain in local app storage until removed through the app or device controls, subject to operating-system storage and backup behaviour.

During export

When you export or share a transcript, the app may temporarily store a file in its cache before sending it to the location or app you select. The app attempts to remove temporary files after completion, cancellation, or a handled failure. Files you save or share elsewhere remain there until you delete them separately.

On servers

Deleting local history does not automatically delete files you exported or information retained by external processing services.

Your Choices and Deletion Requests

You can:

• Choose which recordings and instructions to submit.
• Avoid external AI processing by not submitting a transcription request.
• Delete individual entries from your history.
• Clear app storage using your device settings.
• Revoke microphone access in your device settings.
• Delete exported files through your device's file manager.
• Contact info@microters.com about information associated with your use of the service.

For a privacy request, include enough information to help us identify the relevant interaction, such as an approximate date or request identifier. Please do not send additional recordings unless needed to resolve your request.

Where applicable, you may have rights to access, correct, delete, or restrict processing of your personal information. We will assess requests under applicable law and explain any limitations.

Device Access

The app uses the microphone to record your voice and internet access to transcribe audio and retrieve results. Your device's file-selection interface lets you choose audio files for upload, and the save or share interface lets you choose where an exported transcript is written.

Device settings control available permissions. Restricting access may prevent the affected feature from working.

Security

Our backend API communications use HTTPS. We limit operational logging to information needed to diagnose requests rather than intentionally logging complete audio recordings, transcripts, or API credentials.

No storage or transmission method is completely secure. Protect your device and consider the sensitivity of anything you record or submit.

Children's Privacy

Voice Writer is not directed at children under 13. If you believe a child under 13 has submitted personal information, contact info@microters.com so we can investigate and address the information we control.

International Processing

Our hosting and AI service providers may process information in countries other than your country of residence. Applicable privacy protections and provider practices may differ between countries.

Updates to This Policy

We may revise this policy when the app or its data practices change. The updated policy will be published on this page with a revised date. Where required, we will provide additional notice or obtain consent.
